Valley Vibes Privacy Policy

Valley Vibes collects only the personal information it needs to book your shuttle, tour or package, get your group there safely, and keep you posted if you ask us to. This policy explains what we collect, why, who sees it, and how to reach us about it.

Who we are

Valley Vibes Travel Ltd. runs Valley Vibes, a group shuttle, experiences and travel package business based in Invermere, British Columbia. We hold BC Travel Licence #90437 from Consumer Protection BC. We operate valleyvibes.ca.

We sell golf packages and bachelorette packages. A package bundles your stay, your rounds or activities, and your rides into one price per person.

Our privacy contact is the owner, Chris Genovese.

  • Mail: 240 3rd Avenue, Suite 201, Invermere, BC V0A 1K0

We follow British Columbia's Personal Information Protection Act (PIPA) and Canada's Anti-Spam Legislation (CASL).

What we collect

We collect information you give us directly. We do not buy lists of names or contact details.

  • When you ask for a quote or book a shuttle: name, email, phone, pickup and drop-off locations, dates, group size, and notes you add about your group.
  • When you book a golf or bachelorette package: the organizer's name, email and phone, trip dates, group size, stay and room choices, courses and tee time preferences, add-ons, and the name and email of each traveller who pays a share.
  • When a lodging partner needs it: the names of the guests staying in the property, and the organizer's details for the damage deposit hold.
  • When you pay: your billing name, email and a record of each payment. Card details go straight to our payment provider. We never see or store your full card number.
  • When you download a guide or join our email list: name, email and any answers you give, such as group size or home city.
  • When you fill in a sign-up form on Facebook or Instagram: the details shown on that form before you submit it, usually name and email.
  • When you email, call, text or message us: your contact details and the content of the conversation.
  • When you visit valleyvibes.ca: basic visit data such as pages viewed, device type and approximate location, collected through cookies and similar tools.

If you book for your group and give us other travellers' details, please make sure they agree to share them with us for the trip.

We do not ask for government ID numbers. Please do not send them to us.

Why we collect it

We use your information for the purpose you gave it to us, and for nothing unrelated.

  • To quote, book, schedule and deliver your shuttle, tour or package.
  • To reserve your stay, tee times, boat, venues and VIP entry with the partners in your package.
  • To split a package price so each traveller pays their own share.
  • To contact you about your booking, including pickup times and changes.
  • To invoice you, take payment and keep the business records the law requires, including the records our travel licence requires.
  • To send you news, guides and offers, only if you asked for them.
  • To answer your questions.
  • To understand how people use our website and how our ads perform.

If we want to use your information for a new purpose, we will ask you first.

We do not sell your personal information.

Marketing emails and your consent

We send marketing emails only to people who asked for them. You ask by ticking a consent box, submitting a sign-up form that says you will hear from us, or telling us directly.

Every marketing email we send names Valley Vibes, gives our contact details and includes an unsubscribe link. Unsubscribing is free. We act on it within 10 business days.

You are also welcome to email info@valleyvibes.ca and ask to be removed.

Emails about a booking you made, such as confirmations, payment reminders, pickup details and invoices, are not marketing. We send those as part of delivering your trip.

Who we share it with

We share your information only with the people and services needed to run your booking and our business.

  • Our drivers and staff, who need your name, group size, pickup details and phone number to do the job.
  • The partners in your package: lodging partners and property managers, hotels, golf courses, the boat captain, breweries, distilleries, bars and venues. Each one gets only what it needs to hold your booking.
  • Service providers who run our tools: Webflow (website), Jotform (quote and booking forms), WeTravel (package payments), FareHarbor (tour bookings), QuickBooks (invoicing), MailerLite (email), Connecteam (driver scheduling), Google Analytics (website visits) and Meta (ads).
  • Authorities, when the law requires it.

Once a partner or provider receives your information, it also handles it under its own privacy policy.

Some of these providers store data outside Canada, mainly in the United States. Information held there is subject to the laws of that country. Ask our privacy contact if you want to know which providers handle your information.

Ads, social media and cookies

We advertise on Facebook and Instagram, which are run by Meta. If you submit a sign-up form inside one of our ads, Meta passes us the details shown on that form. Meta also handles your information under its own privacy policy.

Our website uses cookies and similar tools from Google Analytics, Jotform, FareHarbor, WeTravel and our Google reviews display. They count visits, run our forms and booking tools, and measure how our ads perform. Your browser settings let you block or delete cookies. Most of the site still works without them. Booking and payment tools need some cookies to work.

If you tag us or post about your trip publicly, we will ask before we reuse your photo or post in our own marketing.

How long we keep it and how we protect it

We keep your information only as long as we need it for the purpose you gave it, or as long as the law requires.

  • Booking, package, invoice and payment records: kept for the period Canadian tax law and BC travel industry rules require, then deleted.
  • Waitlist, guide and email sign-ups: kept until you unsubscribe or ask us to delete them.
  • Enquiries that did not become a booking: deleted when no longer needed.

We protect your information with password-protected accounts, access limited to the staff who need it, and reputable service providers. No system is perfectly secure. If a breach creates a real risk of harm to you, we will tell you.

Your rights

You are entitled to see the personal information we hold about you, have it corrected, and withdraw your consent.

  • Access: ask us what we hold about you and how we have used it.
  • Correction: ask us to fix anything that is wrong or out of date.
  • Withdrawal: withdraw your consent at any time. If we need the information to deliver a booking, we will tell you what withdrawing means for that booking.

Email info@valleyvibes.ca with your request. We respond within 30 business days.

If you are not satisfied with our answer, you have the right to complain to the Office of the Information and Privacy Commissioner for British Columbia at www.oipc.bc.ca.

Changes to this policy

We update this policy when our practices change. The date at the top shows the latest version. If a change affects how we use information you already gave us, we will tell you directly.
